Description

  • Maintain clean, accurate CRM records and keep pipeline data up to date in Salesforce, HubSpot, Zoho CRM, Pipedrive, or similar tools.
  • Update leads, contacts, opportunities, and pipeline stages daily while removing duplicates and correcting missing information.
  • Schedule calls, demos, follow-ups, and meetings across multiple time zones and manage calendars using Google Calendar, Outlook, and Calendly.
  • Coordinate meeting logistics and ensure sales representatives are prepared before calls and internal prep sessions.
  • Prepare, format, and proofread proposals, quotes, presentations, and other sales documents.
  • Support RFP and RFI responses using templates and existing materials.
  • Create polished sales materials in Google Slides, PowerPoint, or Canva.
  • Generate weekly and monthly sales reports and dashboards, and track pipeline activity, conversion metrics, and KPIs.
  • Draft follow-up emails, meeting summaries, reminders, thank-you notes, and next-step communications.
  • Support inbound lead routing, track internal handoffs, and collaborate across marketing, finance, operations, and sales teams.

Requirements

  • 1–2 years of experience in sales support, administrative support, operations, or coordination roles.
  • Hands-on experience with at least one CRM platform such as Salesforce, HubSpot, Zoho, Pipedrive, or a similar system.
  • Strong scheduling and calendar management skills.
  • Proficiency with Google Workspace or Microsoft Office.
  • Strong written English communication skills.
  • Highly organized with strong attention to detail.
  • Experience preparing proposals, sales decks, or presentations is preferred.
  • Exposure to SDR, BDR, or sales team workflows is preferred.
  • Experience in B2B SaaS, marketing agencies, recruiting, or professional services is preferred.
  • Basic reporting and Excel skills, including pivot tables, dashboards, and reporting, are preferred.
