Description

  • Provide direct administrative support to C-suite executives and senior managers.
  • Manage executive calendars, schedule appointments, and coordinate meetings.
  • Handle email and text management, including sorting, responding, prioritizing, and sending newsletters.
  • Prepare documents, reports, presentations, and spreadsheets.
  • Perform data entry and maintain database and CRM records.
  • Respond to customer inquiries via email, chat, and phone and resolve issues professionally.
  • Support appointment setting, outreach, cold calling, and other business development activities.
  • Assist with inside sales, payment collection, and client success/account management tasks.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Create simple marketing materials and flyers using Canva or similar tools.

Requirements

  • Proven experience as an Executive Assistant, Virtual Assistant, or Administrative Assistant.
  • Strong organizational and multitasking skills.
  • Ability to manage responsibilities across operations, sales support, and customer service.
  • Excellent written and verbal communication skills.
  • Experience working with executives or senior leadership preferred.
  • Comfortable handling phone calls and client communication.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Experience using Canva or similar graphic design platforms.
  • Basic IT troubleshooting skills and familiarity with communication tools such as Slack, Salesforce, WhatsApp, or Skype.
  • Ability to work full-time during EST business hours and start immediately is highly preferred.
  • HIPAA certification preferred, or willingness to obtain it if required.
  • Must be proficient in spoken and written English, submit NBI clearance and/or Local Police Clearance before onboarding, and be available for video meetings with camera on when needed.
