Description

  • Support the operations leader with data gathering, report consolidation, project coordination, and strategic relationship-building.
  • Build, organize, and maintain the executive assistant workspace in Notion, including task tracking, SOP documentation, meeting agendas, and notes.
  • Assist in designing, documenting, and refining operational processes used across the business.
  • Monitor daily task completion across direct reports and proactively flag delays, risks, or issues.
  • Create structured checklists and daily or weekly summary reports to improve visibility and accountability.
  • Transition informal workflows into a centralized task management system and reduce manual follow-up work.
  • Triage and manage multiple inboxes, prioritize urgent messages, draft basic replies, and maintain organized email workflows.
  • Source candidates, manage outreach and follow-ups, coordinate interviews, and maintain candidate pipeline tracking.
  • Coordinate meetings, interviews, calendar activities, and preparation materials such as reports, decks, and key data points.
  • Document recurring workflows and meeting insights to build a scalable internal knowledge system.

Requirements

  • 3–4+ years of experience as an Executive Assistant, Operations Assistant, or in a similar role.
  • Proven experience with process documentation, system building, or SOP creation.
  • Strong skills in data gathering, report preparation, and project tracking.
  • Experience with recruitment coordination and sourcing.
  • Familiarity with tools such as Gmail, Notion, Superhuman, Discord, Slack, LinkedIn, and calendar systems.
  • Experience supporting founders or fast-paced teams is a strong plus.
  • Experience with Notion or similar knowledge management tools, with a willingness to learn quickly.
  • Familiarity with Google Workspace, especially Google Sheets for reporting.
  • Excellent organizational and prioritization skills.
  • Outstanding written and verbal communication skills.
  • Ability to operate autonomously and proactively in tech-driven environments.
  • Experience coordinating cross-functional stakeholders.
  • Ability to maintain confidentiality and handle sensitive information.
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset are required.
