Description

  • Track workflows across finance, HR, customer service, logistics, and IT to ensure tasks are completed on schedule and according to SOPs.
  • Maintain operational databases and dashboards, and produce accurate weekly and monthly KPI reports.
  • Update and organize SOPs, process maps, compliance documentation, and digital files in systems such as SharePoint, Google Drive, or Notion.
  • Coordinate vendor communication, monitor service delivery and SLAs, and route or escalate invoice and service issues.
  • Serve as a cross-departmental point of coordination for projects, events, and recurring operational tasks.
  • Support leadership with ad hoc operational projects, analysis, and research.
  • Ensure daily operations meet compliance and quality standards and maintain logs for audits or internal reviews.
  • Escalate bottlenecks, inefficiencies, and operational risks to management.

Requirements

  • 2+ years of experience in operations, coordination, or business support roles.
  • Proficiency with Microsoft Office or Google Workspace.
  • Experience with ERP, CRM, or operational systems such as Salesforce, HubSpot, or NetSuite, or equivalent tools.
  • Strong Excel or Google Sheets skills, including dashboards, pivot tables, and KPI tracking.
  • Background in process improvement methodologies such as Lean, Six Sigma, or Kaizen is preferred.
  • Experience preparing SOPs and operational documentation is preferred.
  • Exposure to data visualization tools such as Power BI, Tableau, or Looker is preferred.
  • Industry experience in services, SaaS, logistics, or professional firms is preferred.
  • Ability to work U.S. client business hours in a full-time remote role.
