Description

  • Schedule and manage medical, dental, specialist, wellness, and travel-related healthcare appointments.
  • Coordinate referrals, imaging, laboratory work, blood tests, and follow-up care.
  • Monitor healthcare portals daily for messages, test results, prescription updates, and required actions.
  • Communicate with physicians, specialists, clinics, pharmacies, and insurance companies to support continuity of care.
  • Review medical reports and visit summaries to identify follow-up actions, medication changes, and treatment plans.
  • Maintain organized electronic medical records, healthcare trackers, visit logs, and documentation.
  • Verify insurance eligibility and benefits, obtain prior authorizations, and follow up on pending approvals.
  • Resolve insurance-related questions and billing issues with providers and billing departments.
  • Coordinate prescription refills, medication updates, supplement ordering, and wellness-related tasks.
  • Prepare weekly status updates and escalate urgent healthcare matters promptly.

Requirements

  • 2+ years of experience supporting U.S. healthcare providers, medical practices, or healthcare executives.
  • Experience with medical scheduling, insurance eligibility verification, prior authorizations, healthcare workflows, and provider communication.
  • Understanding of medical terminology, HIPAA compliance, medical records management, and insurance coordination.
  • Experience reviewing medical documentation and identifying required follow-up actions.
  • Strong organizational, multitasking, and attention-to-detail skills.
  • Strong written and verbal English communication skills.
  • Ability to work independently with minimal supervision.
  • Reliable internet connection and dedicated home office.
  • Long-term commitment and a strong attendance record.
  • Preferred experience with concierge medicine, executive health programs, functional medicine, or executive assistant support.
  • Preferred experience with Microsoft Office 365, SharePoint, Epic MyChart, MyUHealthChart, and other healthcare portals.
  • Must speak and write English clearly and professionally.
  • Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available to attend video meetings with camera on when required.
  • Reliable laptop or desktop computer.
  • Stable high-speed internet connection with a minimum of 25 Mbps.
  • Noise-canceling headset.
  • Working webcam for virtual meetings.
  • Quiet and professional work environment.

Benefits

  • Part-time schedule of 20 hours per week, Monday to Friday, with morning EST working hours.
  • Hourly pay of $5.00–$6.00 USD.
