Description

  • Manage the founder's email, calendar, meeting prep, confirmations, follow-up notes, and daily/weekly planning routines.
  • Set up and maintain Odoo as the company's CRM, including migrating order tracking and centralizing customer information.
  • Handle order-related communication, including confirming custom artwork, branding details, logos, quantities, and deadlines.
  • Coordinate corporate gifting orders from intake through fulfillment and liaise with internal production staff.
  • Support sales activities by prospecting, following up with leads, scheduling, and maintaining a personal CRM system.
  • Manage customer and relationship touchpoints, including reminders, follow-ups, and gifting for key contacts.
  • Monitor inventory levels, flag reorder needs, and track production status and timelines with the production manager.
  • Coordinate communications with vendors and suppliers and track deliveries and vendor relationships.
  • Assist with basic social media management, content scheduling, and marketing support.
  • Compile recurring company scorecards and metrics summaries for the founder.

Requirements

  • 3+ years of experience in an Executive Assistant, Office Manager, or Operations Support role.
  • Proven experience managing email and calendar systems and scheduling for an executive or founder.
  • Experience with CRM tools such as HubSpot, Zoho, Salesforce, Monday.com, or similar, or strong aptitude to learn Odoo.
  • Comfort managing multiple workstreams across admin, sales support, and logistics without close supervision.
  • Strong written and verbal English communication skills.
  • Detail-oriented with a demonstrated process for catching errors before they become problems.
  • A reliable home workspace with backup internet and equipment.
  • Availability to work full-time during US business hours, with Central Time overlap preferred.
  • Based in LATAM.
  • Experience with inventory or production tracking in a small manufacturing, retail, or ecommerce business is preferred.
  • Familiarity with corporate gifting, bulk order fulfillment, or custom/B2B order coordination is preferred.
  • Social media management or basic content/graphic design experience, such as Canva, is preferred.
  • Prior experience with Odoo is preferred, or willingness to learn it quickly.
  • Experience supporting a founder or small business owner directly is preferred.
