Description

  • Manage the founder’s inbox, calendars, meetings, appointments, and schedule changes across multiple businesses.
  • Coordinate travel arrangements and other high-level scheduling needs as required.
  • Serve as a primary point of contact for clients and prospects and handle inquiries and follow-ups professionally.
  • Support discovery calls, qualify leads, capture client information, and help move opportunities through the sales pipeline.
  • Maintain and update CRM systems and related tools while ensuring data accuracy and task completion.
  • Build and improve repeatable workflows, processes, and admin systems across teams and businesses.
  • Own daily operational tasks, track deadlines and deliverables, and coordinate with internal teams and external stakeholders.
  • Support documentation, social media coordination, and other administrative workflows as needed.
  • Identify workflow inefficiencies and recommend improvements to systems and processes over time.
  • Provide strategic operational support to help scale systems and improve business efficiency.

Requirements

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Experience managing emails, calendars, client communications, and sales support.
  • Experience in the real estate industry is required.
  • Exposure to CRM systems and project/task management tools.
  • Exceptional organizational skills and strong attention to detail.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple priorities and stakeholders simultaneously.
  • Comfortable working independently in a fast-paced, dynamic environment.
  • Experience with lead qualification and pipeline management.
  • Ability to support discovery calls and capture key client information.
  • Proficiency with Google Workspace and/or Microsoft Office tools.
  • Experience with CRM systems such as Honeybook or similar tools.
  • Familiarity with project management tools like Asana or Trello is a plus.
  • High emotional intelligence, discretion, and professional judgment.
  • Trustworthy and able to handle sensitive data with strict confidentiality.
