Description

  • Send contracts and agreements for signature, track their status, and file signed copies to the correct customer records.
  • Keep contract and agreement templates current as requirements evolve.
  • Process vendor and ad hoc invoice payments and monitor and resolve failed payments daily.
  • Track referral and partner payments.
  • Confirm billing and subscription systems are updated during customer offboarding and coordinate related tickets.
  • Manage recurring vendor and partner billing and monthly cost-allocation reporting for accurate P&L reporting.
  • Process weekly reimbursements and coordinate company card issuance and requests.
  • Track and incorporate HR policy updates, including state law compliance and employee handbook changes.
  • Document SOPs and identify opportunities for AI or automation to replace manual work.
  • Support GTM and sales operations, including CRM hygiene, deal pipeline management, outbound support, and reporting.

Requirements

  • 1–3+ years of experience in business operations, sales operations, executive support, or a similar cross-functional role.
  • Strong organizational skills with the ability to manage many concurrent, detail-heavy workflows.
  • Experience handling invoicing, billing, or vendor payment processing accurately and with discretion.
  • CRM fluency with HubSpot or a similar system, or the ability to learn quickly.
  • Ability to manage the contract signature process end to end.
  • Clear, professional written English communication for internal coordination and external follow-ups.
  • Proactive follow-through and the ability to close the loop without being asked.
  • Comfort working across multiple tools, including CRM, payments, HR systems, and contracts.
  • AI-forward mindset with motivation to use AI tools to eliminate repetitive manual work.
  • Comfort working independently in a fast-paced startup environment with shifting priorities.
  • HubSpot CRM experience, including creating and maintaining deals, contacts, and pipeline attribution, preferred.
  • Hands-on experience with billing or payment platforms such as Stripe or Ramp, preferred.
  • BDR or SDR background, helpful for supporting the GTM and outbound side of the role, preferred.
  • Experience building SOPs or internal process documentation, preferred.
  • Background in cross-functional roles such as project management, merchandising operations, logistics, or startup executive support, preferred.
  • Demonstrated use of AI tools such as ChatGPT, Claude, or similar to streamline or automate daily workflows, preferred.

  • Salary of $1,500–$2,500 USD per month.
