Description

  • Prepare and follow up on invoices for new and recurring customers.
  • Maintain accurate customer and billing records across CRM and accounting systems.
  • Investigate and resolve discrepancies between CRM and accounting systems.
  • Respond to customer billing questions and provide requested W-9s, statements, and documentation.
  • Collaborate with internal teams to resolve billing issues and invoice inquiries.
  • Support and maintain the company’s cash application process.
  • Gather and reconcile transaction data, maintain exemption documentation, and assist with sales tax filings.
  • Research state and local sales tax requirements, document findings, and escalate questions for review.

Requirements

  • Entry-level experience in billing, accounts receivable, accounting, or finance operations; relevant internships, coursework, or equivalent experience accepted.
  • Basic understanding of invoices, payment terms, accounts receivable, and account reconciliations.
  • Working knowledge of Excel or Google Sheets, including sorting, filtering, and formulas.
  • Strong attention to detail and comfort working with numerical data.
  • Ability to investigate discrepancies, identify causes, and follow through on resolution.
  • Clear, professional written and verbal communication skills for customer interactions.
  • Ability to manage recurring tasks, stay organized, and meet deadlines.
  • Ability to quickly learn business software and new processes.
  • Experience with SaaS billing, recurring invoices, or B2B customers (preferred).
  • Experience with ERP, accounting, CRM, or sales tax software such as NetSuite or Salesforce; sales tax support; advanced spreadsheet skills; relevant coursework or degree; or multi-currency/international billing (preferred).
