Description

  • Manage calendars and schedule meetings using Google Calendar and Microsoft Outlook.
  • Draft professional emails, memos, agendas, notes, and follow-up action items.
  • Maintain accurate records in spreadsheets, CRM systems, and project management tools.
  • Organize digital files and operational documentation across shared drives and file systems.
  • Prepare reports, summaries, documentation, and presentations for leadership and clients.
  • Conduct online research on competitors, vendors, market trends, and business topics.
  • Support special projects and ad hoc operational requests with minimal supervision.
  • Respond to basic client inquiries, communicate with vendors, and coordinate stakeholder communication.
  • Assist with invoicing, expense tracking, and light bookkeeping activities.
  • Update and maintain project trackers and other operational systems.

Requirements

  • 1–2 years of experience in Virtual Assistant, Administrative Support, Executive Support, or Remote Operations roles.
  • Strong proficiency with Google Workspace and Microsoft Office.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management skills.
  • Ability to work independently in a remote environment.
  • Reliable internet connection and a professional remote workspace.
  • Experience using CRM platforms such as HubSpot, Salesforce, or Zoho CRM is preferred.
  • Familiarity with QuickBooks or Xero is preferred.
  • Experience supporting startups, entrepreneurs, or remote teams is preferred.
  • Experience managing multiple executives or clients simultaneously is preferred.
