Description

  • Manage executive calendars, coordinate meetings, and schedule appointments across multiple time zones.
  • Draft, proofread, and send professional emails, memos, and business correspondence.
  • Prepare meeting agendas, take notes, track action items, and manage inboxes.
  • Maintain accurate records in CRM platforms and update customer, contact, and activity data.
  • Organize spreadsheets, business records, and digital filing systems.
  • Prepare reports, summaries, documentation, and presentations for leadership.
  • Conduct online research on competitors, vendors, market trends, and business topics.
  • Support ongoing projects, operational initiatives, and ad hoc administrative tasks.
  • Coordinate with customers, vendors, external partners, and internal teams to ensure timely follow-up.
  • Assist with invoicing, expense tracking, and light bookkeeping tasks when required.

Requirements

  • 1–2+ years of experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, Operations Support Specialist, or similar remote administrative role.
  • Strong proficiency with Google Workspace and Microsoft Office.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management abilities with the capacity to prioritize multiple tasks and deadlines.
  • Ability to work independently in a remote environment.
  • Reliable high-speed internet connection and a dedicated home office.
  • Experience with CRM platforms such as HubSpot, Salesforce, or Zoho CRM (nice to have).
  • Familiarity with bookkeeping software such as QuickBooks or Xero (nice to have).
  • Experience supporting startups, entrepreneurs, executives, or remote-first companies (nice to have).
  • Experience supporting multiple clients or business leaders simultaneously (nice to have).
