Description

  • Manage calendars, meetings, and scheduling across multiple time zones.
  • Organize inboxes, prioritize emails, and flag urgent items.
  • Draft professional emails, documents, agendas, notes, and follow-up action items.
  • Maintain accurate records and documentation across CRM platforms, spreadsheets, and shared drives.
  • Conduct research on competitors, vendors, market trends, and business opportunities.
  • Prepare organized summaries, reports, and presentations for ongoing projects.
  • Support special projects, operational initiatives, and ad hoc tasks independently.
  • Respond to client inquiries and follow up with vendors and stakeholders.
  • Support invoicing, expense tracking, light bookkeeping, and project coordination.
  • Monitor task progress and keep operational workflows organized.

Requirements

  • 1–2 years of experience in virtual assistant, administrative support, executive support, or operations coordination roles.
  • Strong proficiency with Google Workspace and Microsoft Office.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management abilities.
  • Ability to work independently in a remote environment.
  • Reliable high-speed internet connection and a professional home office setup.
  • Experience using CRM platforms such as HubSpot, Salesforce, or Zoho CRM is preferred.
  • Familiarity with QuickBooks or Xero is preferred.
  • Experience supporting founders, startups, or remote teams is preferred.
  • Experience managing multiple executives or clients simultaneously is preferred.
