Description

  • Manage inbound client inquiries, prioritize urgent requests, and maintain fast, professional follow-up communication.
  • Draft and send client updates, summaries, and responses with a consistent professional tone.
  • Coordinate freelance contractors across projects and deals, tracking timelines, deliverables, and stakeholder communication.
  • Own and maintain CRM records in GoHighLevel, keeping client and deal information clean, current, and visible.
  • Support client onboarding by organizing information and ensuring smooth pipeline and workflow management.
  • Manage calendars in Google Calendar and coordinate meetings, daily priorities, and call preparation through Gmail.
  • Prepare context, materials, and status updates for client or partner calls and daily check-ins.
  • Conduct light research, including market comparisons, inventory checks, and data gathering, then organize findings into clear insights.
  • Support decision-making by presenting relevant operational information and maintaining execution alignment.

Requirements

  • 2+ years of experience supporting a founder, executive, or small business owner.
  • Experience managing client communication and follow-ups.
  • Strong hands-on experience with GoHighLevel; this is non-negotiable.
  • Proficiency with Gmail, Google Calendar, Google Docs, and Google Drive.
  • Excellent written and verbal English communication skills.
  • Strong multitasking, organization, and prioritization skills.
  • Ability to work independently and adapt to shifting priorities.
  • Reliable high-speed internet and a professional remote work environment.
  • Availability to work U.S. business hours.
  • Nice to have: experience with Gamma or other presentation tools, Google Slides or PowerPoint, Notebook LM, startup or fast-paced environments, or automotive/operations-heavy businesses.
