Description

  • Manage the founder’s calendar, inbox, scheduling, and daily priorities.
  • Coordinate meetings with clients and internal teams, including agendas, notes, and pre-meeting context.
  • Send meeting summaries, action items, and follow-up communications after calls.
  • Coordinate client onboarding by collecting assets, information, and required inputs.
  • Act as the main coordination point between the founder, clients, and internal teams.
  • Maintain accurate records and activity logs in HubSpot or a similar CRM.
  • Handle administrative tasks such as travel bookings, expense tracking, and vendor coordination.
  • Support occasional personal tasks for the founder as needed.
  • Use AI tools to draft communication, summarize information, and assist with research.
  • Ensure smooth workflows, timely execution, and strong accountability across stakeholders.

Requirements

  • Proven experience as an Executive Assistant or in a similar role supporting leadership.
  • Experience supporting a founder or senior executive.
  • Experience working in a startup, agency, or fast-paced small team environment.
  • Strong proficiency with Google Workspace, including Gmail, Calendar, and Drive.
  • Experience using Slack or a similar team communication tool.
  • Hands-on experience with HubSpot or another CRM system.
  • Comfort using Loom, Tella, or similar asynchronous communication tools.
  • Strong written English communication skills with high attention to detail.
  • Intermediate to advanced experience using AI tools such as ChatGPT, Claude, and Perplexity.
  • Ability to manage schedules, inboxes, and workflows independently.
  • Availability for 15–20 hours per week with required PST overlap.
  • Familiarity with Notion, Obsidian, Airtable, Canva, SignWell, Calendly, or SavvyCal is preferred.
  • Experience supporting client onboarding or customer-facing operations is preferred.
