Description

  • Manage and organize executive email inboxes in Microsoft Outlook, including prioritizing messages, flagging urgent items, and drafting responses.
  • Own executive calendars across multiple time zones and coordinate scheduling to prevent conflicts and protect executive time.
  • Schedule and organize Zoom and Microsoft Teams meetings, including invitations and meeting logistics.
  • Provide phone-based executive support during U.S. Central business hours by receiving instructions, capturing notes, and converting them into actionable tasks.
  • Coordinate domestic and international travel arrangements.
  • Prepare meeting agendas, presentations, reports, and supporting documentation.
  • Take meeting notes, track follow-up action items, and monitor outstanding tasks to completion.
  • Maintain organized digital files, records, documentation, and Salesforce CRM updates.
  • Serve as a professional communication bridge between executives, clients, vendors, and internal teams.
  • Support research, special projects, vendor communications, and broader administrative workflows as needed.

Requirements

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or in a similar executive support role.
  • Proven experience managing executive calendars and high-volume email inboxes.
  • Exceptional written and verbal English communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to manage confidential information with complete professionalism and discretion.
  • Fast and accurate typing skills for documenting phone-based instructions.
  • Experience coordinating meetings across multiple time zones.
  • Comfortable communicating directly with clients and external stakeholders.
  • Ability to work independently in a remote environment.
  • Availability during U.S. Central Time business hours (9:00 AM–5:00 PM CST).
  • Reliable internet connection and a professional home office setup.
  • Microsoft Outlook experience.
  • Microsoft Office 365 experience, including Word, Excel, and PowerPoint.
  • Microsoft Teams experience.
  • Zoom experience.
  • Salesforce CRM experience.
