Description

  • Manage calendars, scheduling, and operational coordination workflows.
  • Coordinate communication across leadership, clients, and internal teams.
  • Protect leadership bandwidth by anticipating needs and managing follow-ups.
  • Maintain organized, audit-ready documentation across systems.
  • Support compliance-sensitive workflows within ITAD operations.
  • Track client onboarding progress, internal updates, and process changes.
  • Identify inconsistencies in data, dates, scheduling, documentation, and records.
  • Validate names, records, numbers, and operational details before execution.
  • Maintain clean, structured, searchable, and accessible operational records.
  • Support leadership communication, task follow-through, and issue prevention through quality control.

Requirements

  • 3+ years of experience in Executive Assistant, Administrative Assistant, Virtual Assistant, or operations support roles.
  • Strong experience with Google Workspace, Slack, and CRM systems such as Salesforce or similar.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal English communication skills.
  • Ability to work independently and solve problems proactively.
  • High level of professionalism and confidentiality.
  • Structured, process-oriented mindset with strong operational organization.
  • Ability to manage multiple priorities accurately.
  • Experience in compliance-heavy industries, ITAD environments, or operations-focused businesses is preferred.
  • Experience supporting founders or leadership teams is preferred.
  • Familiarity with audit preparation and compliance workflows is preferred.
  • Exposure to onboarding coordination and operational tracking systems is preferred.
