  • Build and maintain agendas, pre-reads, objectives, attendee lists, and decision points for GM-led meetings.
  • Run recurring operational meetings on behalf of the GM when appropriate.
  • Capture decisions, action items, owners, and follow-ups, then track them to closure.
  • Protect and manage the GM’s calendar by declining, redirecting, or consolidating unnecessary meetings and preserving focus time.
  • Aggregate weekly status updates, risks, and metrics from division teams into a consolidated dashboard or status document.
  • Translate complex, multi-source updates into concise, decision-ready summaries and briefing materials for executive and external meetings.
  • Maintain OKR tracking, flag at-risk objectives, and prepare quarterly OKR review materials.
  • Own the division’s inputs for QBRs, leadership offsites, and board-level reporting.
  • Maintain a division-level decision log, action tracker, and risk register, escalating issues early when needed.
  • Coordinate cross-functional follow-ups and handoffs when decisions affect multiple departments.
  • Lead discrete operating projects and division-wide process initiatives, including memos, governance rollouts, and decision-rights documentation.

Requirements

  • Experience supporting a senior executive at the VP level or above in a fast-moving environment.
  • Excellent written and verbal communication skills, including the ability to distill complex information into a one-page summary.
  • Strong organizational instincts and the ability to build tracking systems independently.
  • Comfort with ambiguity and the ability to scope vague requests into usable drafts.
  • Ability to challenge senior leaders constructively, including pushing back on calendar, scope, or framing when needed.
  • Proficiency with Confluence, Jira, Slack, Google Workspace, project tracking tools, and AI tools.
  • Experience in video games, interactive entertainment, film/TV production, or another creative-development industry (preferred).
  • Familiarity with game development production processes such as milestones, gates, greenlight reviews, and post-launch live operations (preferred).
  • Experience working with remote and distributed teams across time zones (preferred).
  • Background working in or around C-level offices or in a Chief of Staff capacity (preferred).
