Description

  • Own the end-to-end resource planning process across active projects, upcoming work, renewals, and the sales pipeline.
  • Maintain a real-time view of resource availability, utilisation, capability, allocation, and future capacity.
  • Partner with Growth, PMO, Delivery, Finance, and Operations teams to align demand with delivery capacity.
  • Identify and proactively manage over-allocation, under-utilisation, skills gaps, delivery bottlenecks, and capacity constraints.
  • Translate commercial forecasts into hiring, contractor, and workforce planning requirements.
  • Support revenue forecasting, margin management, and project profitability through better resource allocation and billable utilisation.
  • Establish governance, reporting, and operating cadences for resource planning and decision-making.
  • Lead regular resource planning meetings and drive accountability, action tracking, and cross-functional alignment.
  • Produce dashboards and executive reporting on utilisation, capacity, demand forecasting, hiring needs, and commercial risk.
  • Continuously improve resource planning processes, tooling, reporting, and operational workflows.

Requirements

  • 5+ years of experience in Resource Planning, Capacity Planning, PMO, Delivery Operations, Workforce Planning, or Professional Services Operations.
  • Strong understanding of project-based delivery environments within consultancy, SaaS, digital agency, Martech, or professional services organisations.
  • Proven experience balancing sales pipeline, project demand, resource allocation, utilisation, and commercial delivery priorities.
  • Strong commercial acumen with experience supporting revenue forecasting, margin management, billable utilisation, and project profitability.
  • Excellent stakeholder management skills across Growth, Delivery, PMO, Finance, Operations, and senior leadership teams.
  • Highly analytical, process-driven, and organised, with the ability to turn operational data into actionable business recommendations.
  • Experience using resource planning, PSA, CRM, project management, and reporting tools such as Jira, Monday.com, Smartsheet, Salesforce, HubSpot, Excel, or similar platforms.
  • Comfortable working in fast-paced environments, managing competing priorities, and proactively resolving delivery risks.
  • Strong communication and facilitation skills, including leading cross-functional planning meetings and influencing senior stakeholders.
  • English proficiency at C1 level.
  • Experience designing or improving resource planning and capacity management frameworks within high-growth organisations.
  • Experience working with globally distributed delivery teams across multiple regions and time zones.
  • Familiarity with professional services KPIs including utilisation, recovery rates, project margins, and forecasting accuracy.
  • Experience building executive dashboards and operational reporting to support strategic planning and workforce decisions.
