Description

  • Manage and organize the executive's inbox with discretion and professionalism, including drafting polished, executive‑level email responses.
  • Structure and manage the executive's calendar by priority and coordinate scheduling for internal and external meetings.
  • Prepare clear, concise, and structured reports and executive summaries from operational data and CRM exports.
  • Learn, maintain, and ensure data integrity in core systems (AxisCare and other CRMs), extract reports, and simplify findings for strategic use.
  • Monitor RingCentral call logs and message threads, organize communications, and track follow-ups to ensure timely responses.
  • Manage Microsoft Teams activities: schedule meetings, prepare structured agendas, take and organize meeting minutes, and track action items and follow-ups.
  • Maintain executive dashboards in Excel, manage milestone tracking, and set relationship reminders.
  • Conduct structured research, prepare comparison briefs, and ask clarifying questions when instructions are incomplete to ensure accurate execution.

Requirements

  • Proven maturity, strong common sense, and professional judgment.
  • Exceptional organizational skills and a structured, process-driven mindset.
  • Demonstrable advanced proficiency in written and spoken English, including grammar and an executive-level tone.
  • Strong critical thinking, emotional intelligence, and the ability to handle confidential information with discretion.
  • Experience learning, managing, and supporting operational integration within CRM systems (AxisCare, WellSky, HubSpot, Salesforce, etc.).
  • Experience using communication platforms such as RingCentral and Microsoft Teams.
  • Ability to operate at an executive level, think independently and quickly, and work without hand-holding.
  • Proficiency with Excel for dashboards, milestone tracking, and reporting.
