Description

  • Manage and organize the Founder’s inbox with the goal of maintaining Inbox Zero.
  • Triage and respond to most incoming emails independently while preserving the Founder’s communication style.
  • Implement and maintain a structured inbox workflow and prioritization system.
  • Draft and send professional responses on behalf of the Founder to parents, partners, and stakeholders.
  • Manage and optimize the Founder’s calendar to protect deep work and prioritize strategic meetings.
  • Coordinate scheduling logistics and meeting preparation for internal and external meetings.
  • Conduct short daily email triage check-ins to review priority messages and decision points.
  • Maintain proactive communication with the Founder about priorities, updates, and urgent items.
  • Support task management and operational workflows using tools such as Asana and Notion.
  • Lead weekly check-in meetings with the Founder using a structured “Big Three” agenda and improve operational efficiency by identifying repeatable tasks.

Requirements

  • 3+ years of experience as an Executive Assistant, Executive Operations Assistant, or Operations Manager supporting a founder or senior executive.
  • Exceptional written English communication skills and the ability to represent an executive professionally via email.
  • Comfortable using Claude or other AI tools.
  • Proven experience managing high-volume inboxes and maintaining structured email systems.
  • Strong organizational skills with the ability to prioritize competing requests and manage deadlines independently.
  • Experience with calendar management and strategic meeting coordination.
  • Highly organized, structured thinker with a systems mindset and strong attention to detail.
  • Proactive problem-solver with high emotional intelligence and professional judgment in external communication.
  • Experience using task management and productivity tools such as Asana, Notion, or Superhuman.
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
  • Based in Mexico City and available for a full-time, fully remote role.
