Description

  • Manage weekly project billing, monthly managed services billing, and ad-hoc invoicing through HaloPSA and Xero.
  • Coordinate invoice preparation by ensuring billing notes, purchase references, and supporting details are available.
  • Reconcile provisioned versus billed licenses across clients using manual and automated processes.
  • Handle invoice queries and follow-ups with internal stakeholders and maintain clean records for products, services, and recurring items.
  • Create, assign, and track admin tasks in HaloPSA, and support job/ticket logging and billing readiness.
  • Support client onboarding administration, including welcome packs, forms, scheduling, documentation, and record setup in HubSpot and HaloPSA.
  • Prepare, format, send, and track proposals and quotes in Zomentum, including revisions and follow-up notes in HubSpot.
  • Monitor incoming enquiries and maintain accurate CRM records, pipeline stages, activities, tasks, and deal follow-ups in HubSpot.
  • Prepare reporting packs and supporting information for Client QBRs and Technical Business Reviews.
  • Build SOPs and internal documentation, improve workflows, and support integrations across sales, PSA, quoting, and accounting systems.

Requirements

  • 2+ years of experience in sales administration, administration, customer coordination, or operations support.
  • Strong written and spoken English with clear, professional, and friendly communication.
  • Excellent attention to detail, especially with pricing tables, templates, and records.
  • Confidence working with systems and processes, including checklists and follow-through.
  • Experience with CRMs, ideally HubSpot, and quoting tools, ideally Zomentum.
  • Experience in an MSP or IT business is a strong advantage, but not essential.
  • Strong understanding of accounts receivable processes.
  • Familiarity with Microsoft 365 tools, including Outlook, Teams, SharePoint/OneDrive, Word, and Excel.
  • Ability to support a remote Australian team from Sri Lanka on a full-time basis.
  • Experience with HaloPSA and Xero is highly valued.
