Description

  • Manage calendars, schedule appointments, and coordinate meetings and travel arrangements for clients and executives.
  • Use workflow and communication tools such as Monday.com, Asana, Trello, Zoom Workplace, RingCentral, and HubSpot to maintain systems as needed.
  • Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.
  • Prepare and distribute reports, presentations, and other documents as required.
  • Provide prompt client service by addressing inquiries and concerns professionally.
  • Manage multiple mailboxes to support executives such as the CEO and COO.
  • Collaborate with team members to ensure smooth operations across departments.
  • Maintain confidentiality and discretion when handling sensitive information.
  • Identify and implement opportunities to improve administrative efficiency and effectiveness.
  • Support social media platform management and content-related tasks as needed.

Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Strong organizational, time-management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Familiarity with managing social media platforms and content management.
  • Ability to maintain confidentiality and handle sensitive information.
  • Willingness to work in US time zones, including PST, EST, and CST.
  • High school diploma or equivalent.
  • Stable high-speed internet connection, preferably 25 MBPS or higher, with backup in case of outages.
  • Own PC or laptop with at least 8GB RAM and a Core i5, AMD Ryzen 3, or 2013 Mac equivalent or higher.
  • Device requirements including Windows 10 or above / Catalina 10.15 or newer, updated browsers, security software, and at least 500GB or 128GB SSD storage.
  • Noise-cancelling headset or earphones and a webcam with 720p or higher resolution.
  • Dedicated, quiet, and well-organized workspace free from distractions.
