Description

  • Manage and maintain the executive’s calendar, including scheduling internal and external meetings across multiple time zones.
  • Screen, prioritize, and respond to emails, messages, and requests for C-suite executives.
  • Coordinate domestic and international travel arrangements, itineraries, logistics, car services, and related documents.
  • Prepare documents, presentations, briefing materials, dashboards, and strategic updates for meetings and leadership reviews.
  • Take notes during key meetings, track action items, and ensure timely follow-up.
  • Support off-site meetings, company-wide events, and executive leadership sessions.
  • Assist with personal tasks and household operations as needed while maintaining discretion and trust.
  • Handle expense reporting, invoice processing, budgets, and other financial matters.
  • Synthesize data, reports, and business metrics into concise briefings for senior leaders.
  • Use Monday.com to update, track, manage, and report on departmental tasks and meeting takeaways.
  • Identify operational bottlenecks and escalate issues with recommended mitigation steps.
  • Facilitate communication so directives, timelines, and expectations are clearly understood and applied.

Requirements

  • 5+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Bachelor’s degree in Business Administration, Accounting, or a related field, or equivalent experience.
  • Exceptional English communication skills, both written and verbal.
  • Proven experience managing complex calendars and logistics across time zones.
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, Zoom, and Teams.
  • Experience working independently in a fully remote, fast-paced environment.
  • Ability to handle confidential information with discretion.
  • Strong organizational, time-management, problem-solving, and multitasking skills.
  • Financial analysis skills, including managing financial matters, budgets, and expenses.
  • Must be sharp, polished, professional, resourceful, proactive, and adaptable to frequent schedule or priority changes.
  • Ability to complete projects within designated timeframes.
  • Evening/weekend on-call availability required.
  • Experience with Monday.com is implied by the role's task management responsibilities.
