Description

  • Respond to incoming patient leads within 1–5 minutes and engage them to book appointments.
  • Schedule, confirm, and reschedule patient appointments.
  • Send appointment reminders and follow-up communications.
  • Proactively contact patients due for recurring services.
  • Handle patient inquiries through phone calls, texts, and email.
  • Manage emails and messages by sorting, responding, and prioritizing.
  • Assist with newsletters and other patient communications.
  • Maintain an organized and up-to-date calendar and scheduling workflow.
  • Provide compassionate customer service and patient support.
  • Assist with clinic operations using Google Voice, email/calendar tools, and the Aesthetic Records EHR system.

Requirements

  • Fluent in both Spanish and English, spoken and written.
  • Must speak and write English very clearly, with a clear or minimal accent.
  • Excellent written and verbal communication skills with strong professional writing standards.
  • Healthcare or medical support experience preferred.
  • HIPAA training or certification preferred, or willingness to obtain it.
  • Strong attention to detail and organizational skills.
  • Ability to work independently in a remote environment.
  • Compassionate, patient-focused approach to customer service.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer required.
  • High-speed internet connection required, minimum 10 Mbps.
  • Noise-canceling headset and webcam required.
  • Quiet, professional workspace required.
