Description

  • Store, organize, and maintain documents and company files.
  • Perform data entry tasks such as preparing lead lists, meeting minutes, transcribing audio, and compiling payroll information.
  • Research products, purchase goods, and secure product samples as requested.
  • Update and maintain CRM records for marketing and sales campaigns.
  • Create and send invoices/statements, track payments, and record company expenses.
  • Gather market and industry data, prepare comparative analysis reports, and summarize findings.
  • Monitor project status, conduct internal communications, and organize company data.
  • Coordinate team calendars, manage scheduling to prevent conflicts, and ensure participants are prepared for meetings.
  • Arrange travel itineraries and book hotels, rental cars, and other travel logistics.
  • Manage incoming/outgoing communications: answer calls, make appointment or inquiry calls, reply to and organize emails, and perform ad hoc client tasks.

Requirements

  • At least 1 year of experience as a Virtual Assistant.
  • Expert-level bilingual proficiency in English and Cantonese.
  • Excellent phone, email, and instant messaging communication skills.
  • Solid organizational and time-management skills and a proactive attitude with willingness to be trained.
  • Available to work graveyard shift / US work hours (20–40 hours per week).
  • Tech-savvy with familiarity in desktop sharing, cloud services, and VoIP.
  • Experience with word-processing software and spreadsheets (e.g., MS Office).
  • Knowledge of online calendars and scheduling tools (e.g., Google Calendar).
  • Hardware: USB headset with noise-cancellation and working webcam; computer with ≥1.8 GHz processor and ≥4 GB RAM.
  • Internet: primary connection ≥25 Mbps (cable) and backup connection ≥10 Mbps.
