Description

  • Manage executive calendars, appointments, and scheduling across multiple time zones.
  • Organize meetings, prepare agendas, and document meeting notes and action items.
  • Handle email and inbox management by responding to inquiries, filtering messages, and prioritizing communication.
  • Communicate with clients, partners, and internal teams via text, email, and phone in a timely and professional manner.
  • Perform menu programming updates and maintenance with accuracy and attention to detail.
  • Submit, track, and organize paperwork, applications, and required documentation.
  • Prepare professional correspondence, reports, proposals, and presentations.
  • Perform data entry, maintain spreadsheets, and update CRM systems accurately.
  • Conduct research and compile information into clear, actionable summaries.
  • Manage project timelines, maintain digital filing systems, draft SOPs, and support leadership with special projects.
  • Handle confidential or sensitive business information with discretion.

Requirements

  • At least 2 years of experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator.
  • Fluent in English and Spanish, both spoken and written.
  • Excellent verbal communication skills, including confidence speaking on the phone.
  • Strong written communication skills with attention to clarity and professionalism.
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) or Microsoft Office Suite.
  • Experience with CRM and project management tools such as HubSpot, ClickUp, Asana, Trello, Slack, or Notion.
  • Ability to manage multiple priorities while maintaining strong attention to detail.
  • Strong organizational, analytical, and problem-solving abilities.
  • Ability to work efficiently in a fast-paced environment with minimal supervision.
