Description

  • Accurately document patient encounters in the EHR immediately after virtual visits.
  • Ensure charts are complete, accurate, and compliant, including diagnoses, treatment plans, and provider notes.
  • Join virtual consultations in a support capacity and confirm next steps with the provider after patient interactions.
  • Enter orders, referrals, and visit notes in real time or shortly after consultations.
  • Process imaging and specialist referrals and coordinate scheduling with external facilities and providers.
  • Track referral status, follow up as needed, and close the loop on completed referrals.
  • Conduct lab and imaging result calls with professionalism and empathy.
  • Handle prescription refill requests and coordinate with pharmacies.
  • Manage scheduling, rescheduling, and appointment confirmations.
  • Organize the provider inbox, prioritize urgent messages, and support daily administrative workflows.
  • Work through a backlog of 450–500 pending charts and prioritize time-sensitive documentation and follow-ups.
  • Identify workflow inefficiencies and suggest process improvements when possible.

Requirements

  • Proven experience as a Medical Virtual Assistant, Medical Receptionist, or in a similar role.
  • Hands-on experience with EHR systems, strongly preferred; similar systems may be acceptable.
  • Familiarity with clinical workflows, including charting, referrals, and patient coordination.
  • Experience using communication and CRM tools such as Slack, Salesforce, WhatsApp, and Skype.
  • Exceptional attention to detail for accurate medical documentation.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Ability to prioritize tasks effectively and meet deadlines.
  • High level of accountability and reliability.
  • Clear and professional verbal and written communication skills.
  • Ability to interact confidently with both patients and healthcare providers.
  • Trustworthy and capable of handling sensitive patient information, including HIPAA compliance.
  • Proactive, solution-oriented mindset and comfort working independently in a remote setting.
  • Willingness to learn and adapt.
  • Bilingual skills, depending on patient population needs, are preferred.
  • Prior experience supporting virtual care or telehealth environments is preferred.
  • Background in healthcare, such as medical assistant, nursing, or healthcare VA experience, is preferred.
  • Must speak and write English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Must have a reliable laptop or desktop computer.
  • Must have high-speed internet with a minimum 10 Mbps connection.
  • Must have a noise-canceling headset.
  • Must have a webcam for virtual meetings.
  • Must have a quiet, professional workspace.
