Description

  • Manage executive calendars, appointments, and scheduling across multiple time zones.
  • Organize meetings, prepare agendas, and capture detailed meeting notes and action items.
  • Handle email and inbox management, including responding to inquiries and prioritizing communications.
  • Prepare professional correspondence, reports, proposals, and presentations.
  • Perform data entry, maintain spreadsheets, and update CRM systems accurately.
  • Conduct market research and competitor analysis, then compile findings into concise summaries.
  • Support marketing activities such as email campaign coordination, lead tracking, and content formatting.
  • Manage project timelines in tools such as Asana, Trello, or ClickUp and track deliverables to completion.
  • Coordinate logistics for virtual meetings, webinars, and client sessions.
  • Maintain digital filing systems, shared drives, and version control for project documents.
  • Draft standard operating procedures and process documentation for recurring tasks.
  • Protect confidential or sensitive business information and provide general administrative support on special projects.
  • Create, modify, and update 2D drawings in AutoCAD based on client or project requirements.
  • Develop and edit 3D models and construction documents using Revit.
  • Interpret architectural and engineering drawings, ensure documentation accuracy, and convert sketches, PDFs, or markups into detailed CAD or Revit files.
  • Coordinate with designers, architects, and project managers to maintain design consistency and compliance with project standards.
  • Perform basic quantity takeoffs and drawing annotations as needed.
  • Monitor and reconcile expense reports, invoices, and other financial records.

Requirements

  • At least 2 years of experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator.
  • Strong verbal and written communication skills in English.
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) or Microsoft Office Suite.
  • Familiarity with CRM and project management tools such as HubSpot, ClickUp, Asana, Trello, Slack, or Notion.
  • Basic understanding of social media platforms and content scheduling tools such as Buffer, Later, or Hootsuite.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Strong organizational, analytical, and problem-solving abilities.
  • Experience or proficiency in AutoCAD and/or Revit is required.
  • Ability to work efficiently in a fast-paced environment with minimal supervision.
  • Experience supporting leadership and handling sensitive information with discretion.
