Description

  • Own end-to-end logistics and project management for donor cultivation and stewardship events.
  • Manage vendors, venues, catering, audiovisual services, contracts, invoicing, and event closeout.
  • Develop run-of-show documents, production schedules, event timelines, and budget trackers.
  • Coordinate RSVPs, guest communications, attendee management, signage, printed materials, and digital event assets.
  • Serve as the primary day-of contact for vendors, venues, executives, VIPs, and on-site logistics.
  • Support board members, executives, and senior stakeholders with briefings, materials, and event preparation.
  • Develop scalable decentralized event models and supporter toolkits for regional donors, volunteers, and supporters.
  • Coordinate logistics across advancement teams and lead activations for campaigns and awareness events.
  • Manage cross-organizational conferences, panels, tabling opportunities, webinars, and virtual engagement initiatives.
  • Maintain event and donor data in Salesforce, coordinate post-event stewardship, and handle confidential information appropriately.

Requirements

  • Demonstrated experience managing events from concept through execution, including logistics, vendor coordination, and day-of operations.
  • Experience in nonprofit or mission-driven organizations preferred; transferable experience from adjacent fields considered.
  • Strong project management skills and ability to manage multiple events, detailed timelines, and deadlines in a fast-paced environment.
  • Experience with CRM or donor databases; Salesforce preferred.
  • Experience with Asana or similar project management tools.
  • Proficiency in Google Workspace, including document management and mail merge.
  • Familiarity with peer-to-peer fundraising platforms such as GoFundMe Pro preferred.
  • Excellent written and verbal communication skills with internal teams, vendors, and external stakeholders.
  • Strong attention to detail, professional judgment, and a solutions-oriented approach.
  • Ability to work occasional evenings or weekends; authorization to work for any U.S. employer required, with no visa sponsorship available.

Benefits

  • Remote work in the continental United States, Alaska, or Hawaii.
  • Starting salary of $79,040–$87,360.
  • Full-time, nonexempt, union-represented position.
