Description

  • Manage calendars, schedule meetings, and coordinate across time zones.
  • Organize inboxes, respond to emails, flag priorities, and draft professional communications.
  • Prepare meeting notes and track follow-ups.
  • Maintain and update records in Google Sheets, Microsoft Excel, and CRMs such as HubSpot or Salesforce.
  • Organize files across Google Drive, Dropbox, and Microsoft SharePoint.
  • Conduct research on competitors, vendors, and market insights, then compile findings into structured summaries or presentations.
  • Support client, vendor, and stakeholder communication by responding to inquiries, following up on outstanding items, and keeping communication timely.
  • Assist with invoicing, expense tracking, and light bookkeeping when required.
  • Maintain project trackers in tools such as Asana, Trello, Notion, or Monday.com.
  • Support ad hoc requests and small projects while keeping workflows organized and updated.

Requirements

  • 1–2 years of experience in virtual assistant, administrative, or operations support roles.
  • Strong proficiency with Microsoft Office and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong time management and organizational ability.
  • Reliable internet connection and the ability to work independently.
  • Experience with CRMs such as HubSpot, Salesforce, or Zoho is preferred.
  • Familiarity with QuickBooks or Xero is preferred.
  • Experience supporting founders, startups, or remote teams is preferred.
  • Experience handling multiple clients or executives simultaneously is preferred.
