Description

  • Manage calendars and schedule meetings using Google Calendar and Microsoft Outlook.
  • Draft and send emails, memos, and documents, and prepare meeting notes with follow-up tracking.
  • Maintain records in spreadsheets, CRMs, and project management tools.
  • Organize files and documentation using Google Drive, Dropbox, and Microsoft SharePoint.
  • Prepare reports and summaries for client review.
  • Conduct online research on competitors, vendors, and market insights and compile findings into clear summaries or presentations.
  • Support ad hoc tasks and small projects as needed.
  • Respond to basic client inquiries and route requests to the appropriate team.
  • Communicate with vendors and follow up on outstanding tasks to ensure smooth coordination.
  • Assist with invoicing, expense tracking, light bookkeeping, and updates in tools such as Asana, Trello, Notion, and Monday.com.

Requirements

  • 1–2 years of experience in virtual assistant, administrative support, or remote operations roles.
  • Proficiency with Google Workspace and Microsoft Office.
  • Strong time management and organizational skills.
  • Ability to work independently with minimal supervision.
  • Reliable internet connection and a functional remote work setup.
  • Experience with CRMs such as HubSpot, Salesforce, or Zoho CRM is preferred.
  • Familiarity with bookkeeping tools such as QuickBooks or Xero is preferred.
  • Experience supporting startups, entrepreneurs, or remote teams is preferred.
  • Ability to handle multiple clients or executives is preferred.
  • Strong written and verbal communication skills.
  • Comfortable learning new tools quickly and multitasking across different workflows.
