Description

  • Maintain accurate CRM records across leads, contacts, deals, and opportunities.
  • Update pipeline stages, notes, and activity tracking in CRM systems such as HubSpot, Salesforce, Zoho, or Pipedrive.
  • Identify and clean duplicate, incomplete, or outdated records to support CRM hygiene.
  • Schedule sales calls, demos, follow-ups, and internal meetings across multiple time zones.
  • Coordinate calendars and meeting logistics using tools such as Google Calendar, Outlook, or Calendly.
  • Prepare sales representatives with the right materials before meetings and manage reminders, confirmations, and schedule changes.
  • Draft, format, proofread, and organize proposals, quotes, presentations, and sales collateral.
  • Support RFP/RFI preparation and template management, and maintain records of contracts and sales documentation.
  • Generate weekly and monthly sales reports, pipeline summaries, dashboards, and KPI trackers.
  • Track follow-ups, draft client communications, and support inbound lead routing and prospect coordination.
  • Collaborate with marketing, finance, and operations to coordinate approvals, contracts, handoffs, and sales workflows.

Requirements

  • 1–2 years of experience in sales support, administrative support, or operations roles.
  • Familiarity with CRM systems such as HubSpot, Salesforce, Zoho, or Pipedrive.
  • Strong proficiency with Google Workspace or Microsoft Office.
  • Excellent written communication and organizational skills.
  • Experience coordinating schedules, meetings, and follow-ups.
  • Strong multitasking and prioritization abilities.
  • Experience supporting B2B sales teams or Account Executives is preferred.
  • Familiarity with proposal preparation and sales collateral creation is preferred.
  • Experience with lead generation or SDR/BDR workflows is preferred.
  • Background in SaaS, agencies, professional services, or other sales-driven environments is preferred.
  • Basic reporting or spreadsheet analysis experience, including Pivot Tables, dashboards, or KPI tracking, is preferred.
  • Ability to work remotely during U.S. business hours.
