Description

  • Manage and organize executive email inboxes in Microsoft Outlook, prioritize urgent messages, draft responses, and ensure timely follow-up.
  • Own executive calendars across multiple time zones and coordinate scheduling to prevent conflicts and protect executive time.
  • Arrange Zoom and Microsoft Teams meetings, including invitations, logistics, and scheduling changes.
  • Provide phone-based executive support during U.S. Central business hours by receiving delegated tasks, capturing notes, and executing instructions promptly.
  • Coordinate domestic and international travel arrangements.
  • Prepare meeting agendas, presentations, reports, and supporting documentation.
  • Take meeting notes, track follow-up items, and maintain organized digital files and records.
  • Communicate professionally with clients, vendors, external partners, and internal teams on behalf of leadership when appropriate.
  • Maintain and update records in Salesforce CRM and track projects, deadlines, and executive priorities.
  • Assist with research, special projects, and vendor communication workflows as needed.

Requirements

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar executive support role.
  • Proven experience managing executive calendars and high-volume email inboxes.
  • Exceptional written and verbal English communication skills.
  • Strong organizational and multitasking abilities with the ability to manage multiple priorities without missing deadlines.
  • Ability to handle confidential information with complete professionalism and discretion.
  • Fast and accurate typing skills for documenting phone-based instructions.
  • Experience coordinating meetings across multiple time zones.
  • Comfortable communicating directly with clients and external stakeholders.
  • Ability to work independently in a remote environment.
  • Availability during U.S. Central Time business hours (9:00 AM–5:00 PM CST).
  • Reliable internet connection and a professional home office setup.
  • Experience with Microsoft Outlook, Microsoft Office 365, Microsoft Teams, Zoom, and Salesforce CRM.
