Description

  • Administer employee benefits programs end-to-end, including enrollments, life events, status changes, billing reconciliation, and employee support.
  • Serve as the primary contact for benefits questions and resolve issues involving eligibility, claims, and carrier escalations.
  • Conduct new hire benefits orientations and support open enrollment planning and execution.
  • Own ACA tracking, compliance reporting, and 1095-C preparation.
  • Reconcile monthly benefits invoices and partner with Finance to resolve discrepancies.
  • Maintain and audit benefits data in the HRIS to ensure accuracy.
  • Monitor and communicate regulatory changes affecting benefits, including ERISA, HIPAA, ACA, COBRA, and related rules.
  • Own leave compliance across multiple U.S. jurisdictions and translate new state leave laws into actionable guidance.
  • Administer leave cases from initiation through return-to-work, including notices, eligibility tracking, documentation, and manager coordination.
  • Manage ADA accommodation requests, coordinate with third-party leave and disability vendors, and handle workers’ compensation claim intake.
  • Support performance review cycles, compliance audits, federal/state reporting, offboarding, and HR policy updates.
  • Back up the senior recruiter when needed during periods with multiple open roles.

Requirements

  • 3-5 years of dedicated, hands-on experience in benefits administration and leave of absence management.
  • Multi-state leave administration experience is required, including knowledge of state-specific paid leave laws, FMLA, ADA, COBRA, and state-mandated programs.
  • A demonstrated habit of staying current on leave law changes and pending legislation.
  • Ability to research new leave laws, assess workforce impact, and provide clear recommendations.
  • Strong knowledge of FMLA, ADA, ACA, ERISA, HIPAA, FLSA, and COBRA as they relate to leave and benefits.
  • Experience with ACA compliance, including tracking, reporting, and 1095-C coordination.
  • Comfort with HRIS and benefits administration platforms and the ability to learn new tools quickly.
  • Strong written and verbal communication skills with the ability to translate complex rules into plain-language guidance.
  • High self-direction and the ability to manage a high volume of concurrent cases without losing track of details.
  • High integrity when handling sensitive, confidential, and legally complex employee matters.
  • High School Diploma or GED required.
  • Consistent, reliable high-speed internet access and a dedicated, quiet workspace free from distractions.
  • PHR, SPHR, SHRM-CP, or CLMS certification preferred.
  • Life, Accident & Health Insurance License preferred.
  • Experience with Greenhouse ATS or Patriot Software Payroll & Accounting preferred.
  • Familiarity with state paid family and medical leave programs such as WA, NJ, and CO preferred.
