Description

  • Own end-to-end logistics for the annual company offsite, including venues, vendors, contracts, travel, run-of-show, on-site execution, and reconciliation.
  • Support department gatherings with vendor sourcing, budget guidance, agenda planning, and logistics.
  • Build and maintain the Offsite-in-a-Box toolkit, including intake forms, templates, vendor agreements, and budget tools.
  • Use AI tools to streamline intake, vendor comparison, budget reconciliation, and post-event synthesis.
  • Manage event budgets, approvals, vendor compliance, contracts, duty of care, accessibility, and emergency protocols.
  • Coordinate company-wide People & Culture initiatives, including engagement surveys, manager programs, and recognition fulfillment.
  • Partner with the Inclusion & Belonging Council to plan calendars, budgets, communications, vendors, and events.
  • Track attendance, participation, costs, utilization, feedback, and engagement outcomes, producing quarterly summaries.
  • Build scalable processes and maintain documented program resources as the company grows.

Requirements

  • 4–6 years of experience in event program management, employee experience, or related operations.
  • Experience owning a multi-day offsite or large company event for 300+ people, including budget ownership.
  • Experience sourcing vendors, negotiating contracts, and managing vendor commitments and compliance.
  • Demonstrated ability to track spending in real time and reconcile budgets with Finance.
  • Strong organizational, project management, written communication, and stakeholder management skills.
  • Sound judgment when handling confidential People & Culture information.
  • Daily, hands-on fluency with AI tools such as Claude, ChatGPT, or Notion AI, including using them to reduce manual work.
  • Proficiency with project management and collaboration tools such as Asana, Jira, Notion, and Google Workspace.
  • Ability to work proactively in a startup environment and pivot quickly as needs change.
  • Willingness to travel approximately 10–20%; remote-first workforce, employee-led group, offsite platform, or healthcare experience preferred.
  • Must be legally authorized to work in the United States; employer visa sponsorship is not available.

  • Base salary of $85,000–$110,000, based on experience and level.
