Description

  • Manage the General Manager’s calendar, schedule meetings, coordinate appointments, and set reminders for deadlines and events.
  • Arrange travel plans, itineraries, and accommodations.
  • Organize and maintain files, documents, reports, and databases.
  • Track project timelines, tasks, and deliverables using Monday.com and provide progress updates to the General Manager.
  • Assist with coordinating environmental research projects and meeting deadlines.
  • Draft, proofread, and edit emails, reports, presentations, meeting agendas, and minutes.
  • Manage communications and ensure timely responses and follow-ups with internal teams and external stakeholders.
  • Conduct research, compile data for reports, presentations, publications, and environmental initiatives.
  • Review scientific and technical documents for accuracy, grammar, formatting, consistency, and quality.
  • Assist with grant applications, proposals, environmental assessments, and other administrative or operational tasks.

Requirements

  • 3+ years of proven experience as a Virtual Assistant, Executive Assistant, or Personal Assistant.
  • Proficiency in Microsoft Office Suite and emerging technologies such as AI tools, cloud services, and VoIP.
  • Strong skills in word processing, spreadsheets, and online scheduling tools such as Outlook and Google Calendar.
  • Excellent phone, email, and messaging communication skills.
  • Strong organizational, time management, and written communication abilities.
  • Ability to work with discretion, confidentiality, and professionalism.
  • Experience with social media management, especially LinkedIn, is preferred.
  • Access to a quiet, dedicated workspace is required.
  • Experience with Xero is an advantage.
  • Familiarity with environmental software or databases is a plus.
