Description

  • Maintain CRM data integrity across more than 69,000 contacts and keep records organized and actionable.
  • Segment lists by survey data, interest themes, lead status, and engagement activity.
  • Execute large-scale email campaigns and manage 1-on-1 follow-ups for investors, partners, and event promotions.
  • Serve as the main support contact for brand and affiliate partners by sending assets, tracking referral links, and distributing promotional materials.
  • Monitor partnership and investor inboxes, triage inquiries, and schedule discovery calls and coordination meetings for the executive team.
  • Maintain automated email workflows and drip sequences, including welcome campaigns, promotional offers, and investor nurture journeys.
  • Use approved AI tools to draft communications, build workflows, and automate follow-up tasks.
  • Continuously enrich contact, organizational, event, and engagement records using internal and third-party data sources.
  • Create weekly reports on engagement, partner sign-ups, investor interest, and affiliate activity.
  • Develop and maintain scoring models and segmentation frameworks that scale with organizational growth.

Requirements

  • Proven experience handling sensitive investor data and executive communications with discretion.
  • Deep experience with HubSpot and/or Klaviyo, including tagging, automation, segmentation, and list management.
  • Salesforce or ActiveCampaign experience is a plus.
  • Strong prompt engineering skills and working command of Claude, Gemini, and ChatGPT.
  • Experience using AI to build workflows, draft communications, and automate tasks.
  • Exceptional written and verbal English communication skills.
  • Ability to communicate professionally on behalf of the executive team in a sophisticated, visionary, and grounded brand voice.
  • High attention to detail and the ability to catch missing tags, broken links, and overdue follow-ups.
  • Working knowledge of Canva and/or Figma for partner assets and promotional materials.
  • Ability to work independently, manage multiple relationship streams, and prioritize without daily hand-holding.
  • Must be available during Eastern Time hours.
  • Required tech stack familiarity with Klaviyo, HubSpot, Claude, ChatGPT, Gemini, Monday.com, Google Workspace, Canva, Figma, Slack, Notion/Asana, and ManyChat is a plus.
