Description

  • Manage a complex, high-volume calendar and global travel for the Chief Legal Officer.
  • Coordinate meetings with senior internal stakeholders, external counsel, board members, and regulators.
  • Handle highly sensitive and confidential information with discretion and sound judgment.
  • Provide proactive support by identifying risks, conflicts, and preparation needs in advance.
  • Support board meetings, executive sessions, and leadership forums, including agendas, logistics, and materials.
  • Assist with legal team operations such as document coordination and tracking key deliverables.
  • Process expense reports, manage budgets, and coordinate vendor payments, including external counsel.
  • Maintain strong relationships with internal and external partners.
  • Partner with other Executive Assistants, mentor junior team members, and contribute to team backup support.

Requirements

  • Proven success providing administrative support in a high-performing, fast-paced, global environment.
  • Experience supporting senior executives, ideally in legal, compliance, or other highly confidential environments.
  • Exceptional discretion, judgment, and professionalism when handling sensitive information.
  • Strong stakeholder management skills with confidence engaging executives, board members, and external partners.
  • Ability to prioritize and manage competing demands across multiple stakeholders and communication channels.
  • Outstanding organizational skills and attention to detail.
  • Exceptional written and verbal communication skills across all levels of an organization.
  • Comfort operating in ambiguity and adapting quickly to shifting priorities.
  • Proactive, independent mindset with the ability to anticipate needs with minimal guidance.
  • Flexibility to handle urgent or time-sensitive matters outside core business hours when needed.
  • Availability to travel approximately 20% of the time for executive and board-related onsite needs.
  • Must be based in the United States on Pacific, Mountain, or Central Time; Eastern Time candidates will not be considered.

Benefits

  • Annual cash compensation range of $96,000 to $144,000 USD.
  • Potential eligibility for annual bonus targets under HubSpot’s bonus plan.
  • Potential eligibility for HubSpot’s equity plan with restricted stock units (RSUs).
  • Some roles may also be eligible for overtime pay.
