Description

  • Manage the COO’s calendar, meetings, and scheduling across international time zones.
  • Ensure the COO is fully prepared for meetings with detailed agendas, pre-reads, and summaries.
  • Maintain meeting request records and respond within strict service-level expectations.
  • Coordinate complex global travel arrangements and end-to-end itinerary logistics for the COO.
  • Identify and prioritize high-value customer meetings during business travel to maximize ROI.
  • Use AI tools to research travel efficiencies, automate administrative tasks, and analyze account data before customer meetings.
  • Partner with account teams and internal stakeholders across Sales, Marketing, Engineering, People, Product, and Go-To-Market functions.
  • Track multiple concurrent workstreams and support accountability on long-term strategic projects.
  • Plan offsites, events, and community-building programs in support of the COO and team.
  • Provide administrative coverage for other executive staff and prepare expense reports.

Requirements

  • 10+ years of executive administrative and/or program management experience supporting C-suite executives.
  • Experience supporting leaders in global software or technology organizations.
  • Proven expertise managing global travel logistics for executives.
  • Experience working with VPs/SVPs leading large teams of 2,000+ employees in technical or customer-facing functions.
  • Experience in high-growth or hyper-scaling environments.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Google Calendar and Gmail, including calendaring and presentation creation/editing.
  • Proficiency using AI tools for travel planning and administrative work.
  • Excellent oral and written communication skills for senior leaders and external partners.
  • Ability to synthesize business and customer data into actionable insights.
  • Ability to work under pressure, prioritize effectively, and thrive in a fast-paced environment.

Benefits

  • Base salary range of $155,300 to $213,500 USD for Zone 1.
