Description

  • Turn the CEO’s priorities into action plans with owners, deadlines, and follow-up steps.
  • Coordinate stakeholders, identify blockers, and ensure project commitments are completed.
  • Build and maintain systems for tracking projects, decisions, deadlines, open questions, and follow-ups.
  • Coordinate hiring activities, including job postings, sourcing, screening, interviews, candidate communication, and onboarding.
  • Translate verbal requests and ideas into organized briefs, documents, workflows, and assignments.
  • Coordinate alignment across operations, finance, marketing, sales, recruiting, e-commerce, and other teams.
  • Anticipate operational needs, surface risks, and resolve routine issues before escalation.
  • Prepare meeting and decision materials, including context, documents, updates, and outstanding questions.
  • Manage executive logistics such as scheduling, travel, reservations, communications, and time-sensitive requests.

Requirements

  • At least 3 years of experience in executive assistance, executive operations, project coordination, operations support, or a similar role.
  • Experience working directly with a CEO, founder, entrepreneur, or senior business leader.
  • Strong project ownership and the ability to manage multiple priorities without repeated reminders.
  • Excellent written and verbal English communication skills.
  • Ability to research unfamiliar topics, evaluate options, and present information clearly.
  • Sound judgment, discretion, and professionalism when handling sensitive business and personnel matters.
  • Proficiency with Google Workspace, Slack, spreadsheets, project management platforms, and modern AI or productivity tools.
  • Experience supporting executives across multiple businesses, departments, or complex initiatives preferred.
  • Experience supporting distributed teams across countries or time zones preferred.
  • Experience improving internal processes, trackers, documentation, or executive operating systems preferred.

Benefits

  • Full-time remote position.
  • Monday–Friday schedule during U.S. business hours.
  • Salary of $1,000–$1,500 per month.
