Description

  • Manage inbound and outbound calls with buyers, sellers, tenants, brokers, lenders, and other stakeholders.
  • Maintain professional phone etiquette and clear written and verbal communication.
  • Update and manage CRM systems such as KVCORE, Follow Up Boss, Salesforce, HubSpot, or similar platforms.
  • Assist with listing management, including MLS uploads, photo coordination, and listing accuracy.
  • Qualify leads and conduct follow-ups through phone, email, and SMS campaigns.
  • Provide administrative support including data entry, appointment scheduling, email management, document preparation, contract assistance, calendar management, and time-keeping.
  • Coordinate transactions with escrow officers, lenders, inspectors, appraisers, and clients to meet deadlines.
  • Prepare marketing materials such as flyers, brochures, social media posts, and email campaigns.
  • Manage social media accounts and online listings to support brand visibility.
  • Maintain accurate records of transactions, listings, and client communications while protecting confidentiality.

Requirements

  • Excellent verbal and written English communication skills.
  • Prior experience in call handling.
  • Familiarity with real estate terminology, contracts, and transaction processes.
  • Experience with MLS systems and real estate CRMs is highly preferred.
  • Experience with Google Workspace and/or Microsoft Office is a plus.
  • Knowledge of digital marketing tools such as Canva, Mailchimp, and social media platforms is a plus.
  • Strong attention to detail.
  • Highly organized and able to manage multiple deadlines.
  • Computer savvy and comfortable learning new software tools.
  • Open to working night shifts.
  • Primary system: Intel Core i5-6000 (6th Gen or higher) or AMD Ryzen 5 or higher, 8 GB RAM, Windows 11 64-bit or macOS Ventura, USB noise-cancelling headset, and a camera with clear video output.
  • Primary internet connection: DSL or fiber with at least 100 mb/s contracted.
  • Backup system option: Intel Core i5-6000 (6th Gen or higher) or AMD Ryzen 5 or higher, 8 GB RAM, Windows 11 64-bit or macOS Ventura, and optional USB noise-cancelling headset.
  • Backup power option: UPS capable of powering the workstation for at least 3 hours, typically 240Wh or higher.
  • Backup internet connection: at least 20 mb/s via cell.
  • Recommended system: Intel Core i7/i9/Core Ultra or AMD Ryzen 7 or higher, 16 GB RAM, Windows 11 64-bit or macOS Tahoe, USB noise-cancelling headset, and clear video camera.
  • Recommended primary internet connection: DSL or fiber with at least 500 mb/s contracted.
  • Recommended backup internet connection: at least 20 mb/s via cell or wired.
