Description

  • Triage and organize the CEO’s inbox, draft routine responses, and filter messages by priority.
  • Monitor Google Chat and provide daily summaries of items requiring the CEO’s attention.
  • Manage the CEO’s calendar, schedule meetings, and protect time for deep work and priority tasks.
  • Coordinate office administration, including supply orders, equipment needs, document management, and contractor coordination.
  • Support relationship-building activities such as gifting for team members and business contacts.
  • Maintain and update the CEO’s business development pipeline in HubSpot.
  • Assist with lead generation, meeting scheduling, note-taking, follow-up emails, and action-item tracking for business development.
  • Document, organize, and improve workflows and SOPs in Notion.
  • Implement and maintain task tracking systems, agendas, and shared workspace updates to support delegation and accountability.
  • Assist with invoicing and other tactical administrative tasks as needed.

Requirements

  • 3+ years of experience supporting senior executives as an EA, Operations Coordinator, or similar role.
  • Strong email management, prioritization, and calendar coordination skills.
  • Experience building organized workflows and operating as a strong systems thinker.
  • Proficiency with digital tools, including Google Workspace, Gmail, Google Chat, Google Calendar, HubSpot, and Notion strongly preferred.
  • Excellent written communication skills and strong follow-through.
  • High attention to detail and ability to maintain accurate records.
  • Comfort making judgment calls, working with sensitive information, and adapting to evolving systems and tools.
  • Business acumen with an understanding of sales pipelines, business development processes, and CRM workflows.
  • Reliable high-speed internet and a modern home office setup.
  • Experience with HubSpot or a similar CRM platform is required or strongly preferred.
