Description

  • Manage the CEO’s calendars, scheduling, and availability across multiple calendars.
  • Handle client emails and inquiries with appropriate tone, discretion, and regulatory awareness.
  • Maintain CRM accuracy and clean contact lists in HubSpot and Mailchimp.
  • Coordinate monthly marketing distributions and validate external data before sending.
  • Work with an external designer to prepare marketing materials.
  • Support recurring operational processes such as insurance renewals and engagement letters.
  • Track follow-ups on incomplete tasks, ideas, and action items from the CEO.
  • Use AI tools to automate routine tasks, validate outputs, and support workflow transitions.
  • Escalate unclear or nuanced requests to the CEO for clarification.
  • Ensure internal systems and client communications remain organized, transparent, and compliant.

Requirements

  • 3+ years of experience as an Executive Assistant, Operations Assistant, Administrative Coordinator, or similar role supporting senior leadership.
  • Strong experience with phone and email management, multi-calendar coordination, and CRM data maintenance.
  • Proficiency in HubSpot and Mailchimp.
  • Experience with ClickUp, Jira, Trello, or similar project management tools is a plus.
  • High comfort working with AI tools such as ChatGPT or Copilot and validating AI-generated outputs.
  • Excellent written and verbal communication skills with strong attention to tone, accuracy, and regulatory sensitivity.
  • Ability to manage client communications with discretion, transparency, and compliance awareness.
  • Strong organizational and time-management skills with the ability to reprioritize quickly in a fast-paced environment.
  • Proven ability to take initiative, solve problems independently, and complete tasks with minimal supervision.
  • Experience supporting operational processes, documentation, SOP execution, basic reporting, and data validation.
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
  • Experience in financial services, legal, or other regulated industries is preferred.
  • Familiarity with automation tools such as N8N or Zapier is a plus.
