Description

  • Assist with recruiting, screening resumes, coordinating interviews, and communicating with applicants and staff throughout the hiring and onboarding process.
  • Prepare, track, and maintain onboarding requirements, employment documents, employee records, and personnel files.
  • Support payroll preparation by collecting timesheets, verifying attendance, entering payroll data, and maintaining compensation records.
  • Create, update, and maintain SOPs, checklists, workflows, and organized digital filing systems for HR and operations processes.
  • Support audit preparation by organizing documents, tracking compliance-related records, and keeping files complete and up to date.
  • Update trackers and internal records, and assist with daily HR and operations-related tasks.
  • For the recruiting-focused role, manage end-to-end hiring, process payroll, and coordinate headcount needs and position approvals.
  • For the compliance-focused role, monitor labor law requirements, conduct HR audits, reconcile payroll with finance records, and flag compliance risks.
  • For the automation-focused role, map workflows, identify inefficiencies, build automations, and report on time saved, error reduction, and adoption rates.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred, but not required.
  • 2–4 years of experience in an HR virtual assistant or remote HR role.
  • Hands-on US payroll processing experience with Gusto, ADP, Rippling, or similar systems.
  • Solid understanding of US labor laws, compliance requirements, and HR best practices.
  • Experience building or maintaining SOPs and process documentation.
  • Comfort working independently with HRIS platforms and HR tech tools.
  • Strong attention to detail when handling payroll, records, and compliance documents.
  • Professional handling of confidential employee and financial information.
  • Proficiency in Google Workspace and/or Microsoft 365.
  • Experience with Asana for task management and workflow automation.
  • Familiarity with QuickBooks or similar finance/accounting software is a plus.
  • Comfortable using video communication tools such as Zoom or Google Meet.
  • For the recruiting role, experience with an applicant tracking system such as Workable or Greenhouse is required.
  • For the compliance role, finance experience using QuickBooks or similar accounting software is required.
  • For the automation role, hands-on experience with automation workflows and HRIS configuration or HR systems administration is required.
