Description

  • Support end-to-end recruiting by partnering with hiring managers, posting roles, coordinating candidate outreach, scheduling interviews, and maintaining hiring records.
  • Own onboarding and offboarding administration, including new hire system setup, welcome coordination, employee record maintenance, and access removal processes.
  • Lead employee engagement initiatives such as the monthly newsletter, company events, social programs, anniversaries, and recognition activities.
  • Maintain employee distribution groups and keep people-related records, systems, and documentation accurate and audit-ready.
  • Support payroll operations by handling state agency correspondence, filings, notices, and engineering service billing submissions to Finance.
  • Serve as the primary calendar owner for the CEO, including scheduling, rescheduling, external coordination, and PTO submissions.
  • Partner with the executive team by documenting meetings, tracking action items, and coordinating follow-ups.
  • Coordinate standing company-wide meetings and executive sessions, including all-hands, leadership syncs, AMAs, QBRs, Board Meetings, and Product Council sessions.
  • Facilitate the monthly AMA with the CEO by managing communications, anonymous questions, and live moderation.
  • Support QBR and Board Meeting logistics end to end, including agenda preparation, deck coordination, scheduling, Zoom links, travel, and publication of recordings and transcripts.

Requirements

  • Experience balancing multiple competing priorities in a fast-moving environment.
  • Strong project management instincts with the ability to own outcomes, build structure, and keep multiple workstreams moving.
  • Ability to pivot quickly as priorities change and adapt with flexibility.
  • Comfort creating and maintaining process documentation in tools like Notion or Confluence.
  • Strong organizational skills and exceptional attention to detail.
  • Clear, confident communication skills for executive support, newsletters, and cross-functional coordination.
  • Experience working with modern tools including Google Workspace, Slack, Confluence, Lattice, Lever, Rippling, Carta, and Claude.
  • A people-first mindset with warmth, discretion, and professionalism in employee-facing and executive interactions.
  • Experience supporting HR coordination, executive operations, or similar administrative functions is implied by the role scope.
  • Familiarity with remote, distributed teams across multiple regions is preferred.
