Description

  • Post job advertisements for therapists and administrative roles on job boards and university channels.
  • Track applicants, interview status, and hiring outcomes in the recruitment spreadsheet.
  • Schedule interviews with the office manager, owner, and other stakeholders.
  • Send onboarding emails and create new employee folders in Google Drive and HR systems.
  • Verify onboarding documents including OCPS packets, licensure documents, CPR certifications, background checks, W-4s, I-9s, and direct deposit forms.
  • Assist with Medicaid credentialing and maintain accurate employee credentialing records.
  • Manage employee files, attendance, PTO tracking, and weekly hour reports.
  • Prepare offer letters, employment agreements, and internal HR forms.
  • Support new hire orientation, probation monitoring, and HR communication updates.
  • Send reminders for training sessions, compliance deadlines, meetings, policy updates, and staff announcements.
  • Prepare and submit the weekly HR productivity report every Friday by 3 PM EST.
  • Attend daily virtual check-ins and the weekly HR coordination meeting, and remain responsive during work hours.

Requirements

  • Experience in HR, recruiting, or healthcare administration is required.
  • Previous virtual assistant experience is preferred but not required.
  • Familiarity with U.S. healthcare documentation such as W-4, I-9, HIPAA, and licensure is a plus.
  • Must speak and write English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection of at least 10 Mbps is required.
  • Noise-canceling headset and webcam are required for virtual meetings.
  • Must have a quiet, professional workspace.
  • Experience with Google Workspace, Canva, Indeed, ZipRecruiter, LinkedIn Recruiter, Trello or Asana, Slack, WhatsApp, or GroupMe is required or strongly preferred.
  • Must be highly organized, detail-oriented, motivated, and able to work independently.
  • Must be available to work full-time, 40 hours per week, Monday to Friday, 9:00 AM to 6:00 PM EDT.
  • Part-time availability of 25–30 hours per week may be considered during the first 30 days of training/probation.
  • Occasional Saturday availability may be required for onboarding, recruitment events, or quarterly HR audits.
