Description

  • Answer incoming patient calls professionally and efficiently, including returning missed calls and voicemails promptly.
  • Schedule and manage patient appointments in accordance with clinic scheduling protocols.
  • Book new patients into longer appointment blocks and follow-up visits into shorter blocks to support patient flow.
  • Maintain accurate scheduling and patient records in the EMR system.
  • Respond to patient emails and text messages in a timely and professional manner.
  • Handle incoming fax communications received through email and follow up as needed.
  • Support remote front desk operations and coordinate administrative tasks as needed.
  • Work collaboratively with the in-office front desk team to ensure timely patient support and excellent service.

Requirements

  • Previous healthcare or medical office experience is preferred.
  • Prior virtual assistant or front desk experience is preferred.
  • Experience using EMR/EHR systems is preferred.
  • Familiarity with Optima EMR is a plus.
  • Strong and professional phone communication skills are required.
  • Friendly, patient-focused customer service demeanor is required.
  • Ability to manage high call volumes efficiently is required.
  • Organized, detail-oriented, and able to multitask effectively.
  • Must be able to speak and write English very clearly.
  • Must have relevant work experience and be available during 9:00 AM to 6:00 PM EDT, Monday through Friday.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection with a minimum of 10 Mbps is required.
  • Noise-canceling headset and webcam are required.
  • Must work from a quiet, professional workspace.
  • Must be comfortable using EMR systems and learning Optima EMR quickly.
  • Must be able to work independently with minimal supervision.
