Description

  • Follow up with new patient leads by phone, text, and CRM to convert inquiries into scheduled consultations.
  • Answer patient questions and guide them through the booking process.
  • Conduct patient intake calls and collect health and lifestyle information.
  • Send, verify, and track consent forms, waivers, and required paperwork.
  • Update patient charts, appointment notes, and CRM records with accurate documentation.
  • Follow up with patients after appointments to check progress, gather feedback, and encourage online reviews.
  • Re-engage inactive, previous, and non-converting patients through follow-up outreach and promotions.
  • Support patient retention by building long-term relationships and encouraging repeat visits and referrals.
  • Assist with general administrative tasks to support daily operations.
  • Schedule social media posts and help with basic content creation and message response when needed.

Requirements

  • Experience in healthcare, wellness, medical spa, aesthetics, or another patient-focused environment.
  • Previous experience in appointment setting, patient coordination, or customer service.
  • Ability to handle 20–30+ outbound calls per day.
  • Excellent communication and relationship-building skills.
  • Experience using CRM or scheduling systems.
  • HIPAA awareness and strong attention to detail.
  • Self-motivated, organized, and able to work independently.
  • Reliable and interested in a long-term opportunity.
  • Experience with Go High Level (GHL), Mindbody, Bowtie, Ooma, or similar CRM/scheduling platforms is preferred.
  • Background in patient intake, medical scheduling, patient follow-up, or lead nurturing is preferred.
  • Basic social media scheduling or content management experience is preferred.
  • Must speak and write English clearly and professionally.
  • Must have relevant work experience.
  • Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available to attend video meetings with camera on when required.
  • Reliable laptop or desktop computer.
  • Stable high-speed internet connection with at least 25 Mbps.
  • Noise-canceling headset.
  • Working webcam for virtual meetings.
  • Quiet and professional work environment.
