Description

  • Provide direct administrative support to C-suite executives and senior managers.
  • Manage executive calendars, schedule appointments, and coordinate meetings.
  • Handle email and text management, including sorting, responding, prioritizing, and sending newsletters.
  • Prepare documents, reports, presentations, and spreadsheets.
  • Assist with data entry, CRM updates, and database management.
  • Respond to customer inquiries via email, chat, and phone and resolve issues professionally.
  • Support appointment setting, calendar coordination, cold calling, outreach, and inside sales processes.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Assist with internal operations and operational documentation across multiple business functions.
  • Create simple graphic designs and basic marketing materials using Canva or similar tools.

Requirements

  • Proven experience as an Executive Assistant, Virtual Assistant, or Administrative Assistant.
  • Strong organizational and multitasking skills.
  • Ability to manage multiple responsibilities across operations, sales support, and customer service.
  • Excellent written and verbal communication skills.
  • Experience working with executives or senior leadership preferred.
  • Comfortable handling phone calls and client communication.
  • Must be able to work full-time during EST business hours (8:30 AM–5:30 PM EST, Monday–Friday).
  • HIPAA certification preferred, or willingness to obtain it if required.
  • Reliable internet connection and a professional remote workspace are required.
  • Must be proficient in speaking and writing English very clearly.
  • Must have relevant work experience.
  • Must submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, and webcam are required.
  • Microsoft Office Suite, Google Workspace, Canva or similar design platforms, and basic IT troubleshooting skills are required.
  • Experience with Slack, Salesforce, WhatsApp, or Skype is preferred.
