Description

  • Manage calendars by scheduling, rescheduling, and confirming internal and external meetings.
  • Monitor inboxes by sorting emails, flagging priorities, drafting replies, and following up on unanswered messages.
  • Coordinate travel and logistics, including flights, hotels, restaurant reservations, and itinerary changes.
  • Prepare meeting materials such as agendas, notes, action items, follow-ups, and project tracker updates.
  • Support recruiting operations by scheduling interviews and coordinating candidate communications and assignments.
  • Handle finance and administrative tasks such as expense uploads, receipt organization, vendor lists, and contract filing.
  • Maintain internal operations documentation, templates, onboarding checklists, and shared drives.
  • Assist with event and offsite planning, including venue research, catering, attendee lists, and run-of-show documents.
  • Send internal reminders and coordinate across tools like Slack, Notion, Google Workspace, and ChatGPT.

Requirements

  • Bachelor's degree.
  • At least 5 years of experience as an Executive Assistant for an international software company.
  • Excellent written and verbal English communication skills, including at least B2 level proficiency.
  • Strong phone, email, and instant messaging communication skills.
  • Solid organizational and time management skills with strong attention to detail.
  • Ability to work a graveyard shift and 9 AM to 6 PM EST schedule.
  • Tech-savvy and familiar with desktop sharing, cloud services, VoIP, and current technologies.
  • Experience with word-processing software and spreadsheets such as MS Office.
  • Knowledge of online calendars and scheduling tools such as Google Calendar.
  • USB headset with noise cancellation, working webcam, main and backup computer, and reliable wired internet service.
  • Main computer must have at least a 1.8 GHz processor and 4 GB RAM; wired internet must be at least 25 Mbps, with backup internet at least 10 Mbps.
  • Proactive attitude, willingness to be trained, and ability to ask questions when unsure.
